This Privacy Policy explains how KeepUp CRM collects, uses, stores, and processes information in connection with the KeepUp platform for builders, sales teams, and their authorized users.

Overview

KeepUp is a business software platform used by builders and sales teams to manage accounts, CRM records, workflows, communications, and related operational information. This Privacy Policy applies to KeepUp only and describes our handling of information connected to the platform.

KeepUp does not sell personal data. The customer organization using KeepUp remains responsible for the legality of the data it uploads to the platform and for how that data is used.

Information We Collect

KeepUp collects information needed to create, administer, secure, support, and bill for accounts. Depending on how the platform is used, this may include user names, login credentials, email addresses, phone numbers, company details, role assignments, usage records, billing-related information, and support or onboarding communications.

We may also collect system and operational information such as log data, device or browser information, IP addresses, timestamps, and event records needed to operate, troubleshoot, secure, and improve the service.

Information Entered by Customers into the Platform

KeepUp stores or processes CRM, contact, lead, customer, sales, and communications-related data that customers and their users enter into the platform. This can include names, email addresses, phone numbers, notes, activity history, communication records, community or sales information, and related business data.

That information is provided by the customer or its users, not collected independently by KeepUp from consumers. The customer is responsible for ensuring it has the appropriate rights, permissions, and legal basis to upload, store, use, and communicate with that data through KeepUp.

How We Use Information

KeepUp uses information to:

  • provide, maintain, and support the platform;
  • authenticate users and manage accounts and permissions;
  • process customer requests, onboarding, support, and account administration;
  • operate workflows, CRM tools, and communications features requested by customers;
  • monitor performance, troubleshoot problems, and protect the security of the service; and
  • manage billing, subscription, and service-related records.

Service Providers and Infrastructure

KeepUp may use third-party providers to support hosting, infrastructure, database storage, session management, analytics, payment processing, customer support, and email delivery. These providers process information on our behalf or as part of delivering the services requested by the customer.

For example, KeepUp uses cloud infrastructure and database services to run the application, email delivery tools to send platform emails and communication workflows, and billing providers to support paid account administration. We do not disclose secrets or credentials through this policy.

Email and Communications Data

When customers use KeepUp communication features, KeepUp may process message content, sender and recipient details, scheduling data, delivery metadata, suppression-related records, and event data such as sends, deliveries, opens, clicks, bounces, blocks, and unsubscribes where supported by the configured provider.

Customers are responsible for the content they send and for obtaining any required consent before using KeepUp to contact leads, customers, or other recipients.

Data Retention

KeepUp may retain information while an account is active and for as long as reasonably necessary for legitimate business purposes, including security, legal compliance, dispute resolution, operational continuity, backup, and enforcement of agreements.

Retention periods can vary depending on the type of information, the customer relationship, product usage, technical backup cycles, and legal or operational needs.

Data Security

KeepUp uses reasonable administrative, technical, and organizational safeguards designed to protect information processed through the platform. However, no system or transmission method is completely secure, and KeepUp cannot guarantee absolute security.

Customers and users are also responsible for protecting their credentials, restricting unauthorized account access, and using the platform in a secure manner.

User Responsibilities

Customers and users are responsible for the accuracy, quality, legality, and appropriateness of information they upload, enter, store, or send through KeepUp. They are also responsible for complying with applicable privacy, marketing, and communications laws and for honoring applicable consent, opt-out, and suppression requirements.

KeepUp does not independently verify all customer-provided data and does not assume responsibility for unlawful or unauthorized use of the platform by customers or their users.

Your Choices / Contact Us

Customers may update certain account information through the platform and may contact KeepUp regarding account, support, or privacy-related questions. Because much of the information in KeepUp is provided and controlled by the customer organization, requests relating to CRM or communications data may need to be directed first to the applicable builder or company using the platform.
